Engagement Overview
In August 2024, a global consulting client partnered with Evalueserve to identify and document AI-driven use cases across various industries. Over the past year, we collaborated closely with the client’s stakeholders to enhance project efficiency through automation.
The first phase of the project relied on a manual, labour-intensive process to capture use cases. In February 2025, we initiated Phase 2, which introduced a hybrid solution designed to streamline operations while preserving the quality and consistency established earlier. As part of this phase, we deployed our Agentic AI solution to automate use case identification in three primary sectors.
Evalueserve’s domain knowledge and insights from the manual phase played a critical role in this transition. Our understanding of industry-specific needs and best practices helped us anticipate and address potential challenges early in the automation process. This combination of technical capability and practical experience ensured a smooth shift to automation, minimizing disruptions and improving overall performance.
The project has since evolved into a reliable system that consistently delivers high-quality outcomes. Our approach improved the client’s operational efficiency, supported the expansion of automation into new sectors, enabled the delivery of meaningful quarterly updates, and steadily increased industry coverage.
Phase 1: Manual Approach
The domain team spent ~90 hours manually to capture 100 use cases per sector.
Initially, it took the team more than 90 hours to complete the task but eventually efficiency was achieved as we progressed through the project.
Phase 2: Proof of Concept (PoC)
Team worked on two functions (Finance and HR) and one sector (Technology).
Efficiency: With the help of Agentic AI domain FTE hours reduced to 50 from 90.
Tech expertise: Substantial efforts were invested by the tech team as Agentic Framework was setup with several iterations and learnings along the way.
Phase 3: Steady State
The team worked on Ed tech sector and next in the pipeline is Retail.
Efficiency: Domain FTE hours were further reduced by 30% (35 hours from 50 hours) as efficiency achieved in Ed Tech sector.
Tech Expertise: Currently tech expertise utilized in modifying the codes to make them sector specific.
Tech Integration
Evalueserve effectively combined advanced technology with domain expertise by developing three customized GenAI agentic tools. These tools operate in sequence to reduce manual effort while ensuring data accuracy and detail, enabling analysts to complete data collection more efficiently.
Identification Agent: Identifies relevant use cases within a specific sector or functional area by analysing a wide range of possibilities.
Profiling Agent: Extracts accurate information for each data field in a project spreadsheet, including company name, date, function, and other essential details.
Segmentation Agent: Categorizes use cases into sub-functions within a sector. For example, if several AI use cases are linked to the same company, the tool distributes them across the appropriate sub-functional categories.
Our integrated approach streamlines the data collection process while maintaining the depth and precision required for high-quality outcomes.
Strategy for Tech Integration
- Low Code Automation: Evalueserve implemented a low-code agentic solution to streamline the capture of use cases. The approach reduces technology costs and enables quicker deployment and updates across new sectors.
- Dashboard: We also implemented a unified dashboard that serves as the central repository for all identified use cases. It provides consultants with actionable insights and real-world examples of AI adoption, supporting client engagements and strengthening the firm’s credibility.
Execution and Impact
In February 2025, Evalueserve launched a proof of concept (PoC) for the project by deploying a set of customized tools. We evaluated multiple data sources to establish a reliable foundation and refined the instructions and keywords to align with specific sectors and business functions. Each tool was tailored to perform identification, profiling, and segmentation tasks effectively.
The implementation of agentic AI significantly improved operational efficiency, reducing domain-specific full-time equivalent (FTE) hours by 45% to 61% and cutting turnaround time by 40%. During Phase 1, which relied on manual data capture, the project accounted for over $1 million in billable FTE days. By automating the process, we enabled the reallocation of valuable time and resources to other high-impact, revenue-generating initiatives. This advancement also reinforced Evalueserve’s role as a strategic technology partner, supporting the client’s broader automation objectives and contributing to its long-term digital transformation strategy.
Road Ahead
The successful shift from manual to automated AI use case capture has significantly improved the project’s efficiency, accuracy, and scalability. Evalueserve’s expertise, combined with its tailored agentic AI framework, streamlined operations and delivered measurable cost savings.
